Tools for data preparation
Next to its suite of encoding standards, Archives Portal Europe has developed and develops further a set of tools that support its content providers in the processes of data preparation. There is the central dashboard, to which confirmed content providers will get access via their own accounts and which allows them to take full control over the data processing steps, so that it is the content providers themselves, who decide when they will upload, process, and publish which parts of their data.
In the dashboard, there are two types of roles, the Institution Manager, who will take care of the data processing for one or more institutions, and the Country Manager, who is responsible for setting the framework, the archival landscape, for their country and its contributing institutions as well as for assigning the Institution Manager accounts. Next to the data processing once the materials have been uploaded to the dashboard, this tool also includes different options to provide the data in the first place, from a simple HTTP upload to automated harvesting via the OAI Protocol for Metadata Harvesting, as well as sharing options such as a conversion to the Europeana Data Model (EDM), when sharing with the cross-domain portal for the digital cultural heritage of Europe.
Furthermore, there are two local tools, the Data Preparation Tool and the OAI Harvester, which fulfil the same functionalities as the dashboard and are tailored towards a use in the context of preparing data for Archives Portal Europe, but can also be used flexibly and independently in other contexts if wanted.
