<strong>College van Decanen</strong>

Het College van Decanen werd met de Wet universitaire Bestuurstructuur(stb. 1970, 601) ingesteld.
Tussen februari en augustus 1973 heeft de Erasmus universiteit een voorlopig College van Decanen. Hierin hebben de voorlopige decanen van de faculteiten zitting. De voorzitter oefent de bevoegdheden uit van de Rector Magnificus.

Vanaf september 1973 komt het college van decanen samen in zijn definitieve samenstelling, de decanen van de verschillende faculteiten onder voorzitterschap van de Rector Magnificus.

<strong>Rector Magnificus</strong>

De Hoogeronderwijswet (Stb. 1876, 201) stelde de taken van een, aan een rijksuniversiteit of een rijkshogeschool verbonden, rector magnificus vast.
De rector vertegenwoordigde de instelling naar buiten en was bekleed met taken inzake de studenten, waaronder het inschrijven van studenten en de handhaving van de tucht onder de studenten. De rector was voorzitter van het college van decanen en hield een jaarlijks verslag in het openbaar over de onderwijsinstelling.

De rector magnificus werd benoemd per Koninklijk Besluit voor een periode van twee jaar benoemd.
De voordracht werd opgesteld door de universiteitsraad.

Het archiefbeheer werd uitgevoerd door een medewerker van de afdeling Post, Archief en Reproductie (PAR). Omdat het voorzitterschap van het College van Decanen door de Rector Magnificus werd uitgevoerd en de werkzaamheden van de Rector beperkt in omgang waren, werden de archieven samengevoegd. Het archief was als aparte verzameling ondergebracht bij het centrale bestuursarchief van de universiteit.

De archiefbescheiden werden jaarlijks overgebracht naar de centrale archiefbewaarplaats (cab). Daar werden ze als aparte verzameling weg gezet.

Het archief bestaat uit de neerslag van de activiteiten die door het College van Decanen en de Rector Magnificus werden uitgevoerd. Het betreft hier het opstellen van regelgeving voor de uitvoering van promoties, de toekenning van (ere)doctoraten. Verder was het college betrokken bij de benoeming van de rector magnificus en stelde het jaarverslagen op over de activiteiten. Het College van Decanen gaf daarnaast advies, gevraagd of ongevraagd, aan de universiteitsraad en het College van Bestuur over onderwijszaken en wetenschapsbeoefening aan de universiteit. Het archief bevat tevens de verslaglegging van de vergadering van het College van Decanen. De Rector Magnificus was verantwoordelijk voor het handhaven van tucht onder studenten en het geven van een verslag in het openbaar over de universiteit. Verder was de Rector de vertegenwoordiger van de universiteit in de contacten met universiteiten en hogescholen. Tevens was hij de universitaire vertegenwoordiger bij activiteiten van bestuursorganisaties op gebieden die raakvlakken hadden met onderwijs en onderzoek. Bij Erasmus universiteit was hij tevens belast met de coördinatie van de jaarlijkse viering van de dies natalis. Hij was mede verantwoordelijk voor de lustrumviering als de dies natalis daar deel van uitmaakte.

De bewerking van de archieven begon in 2005 en is in 2007 afgerond.
De afdeling post en archiefzaken was belast met de uitvoering van dit project.
De bewerking vond projectmatig plaats:
1. Selectie en waardering van de archiefbescheiden
2. Herordening en samen voeging van archiefbestanddelen. 
3. Omzetting van de dossiers in duurzame materialen
4. Beschrijving van de archiefbestanden
5. Aanleg van de inventaris.

Het archief besloeg de periode 1973-1999 en was geordend op basis van de code universiteiten en hogescholen. Dit was een afgeleid van de Basis Archief Code (BAC) opgesteld door de Vereniging van Nederlandse Gemeenten (VNG).
Doormiddel van het toekennen van een classificatie uit deze code aan onderwerpen, werd het mogelijk om gelijksoortige onderwerpen bij elkaar te plaatsen. Dit wordt zaaksgewijze ordening genoemd.
De verschillende classificaties werden ook gebruikt als plaatsingskenmerk waarmee de archiefmedewerkers een extra instrument hadden voor het opzoeken van archiefbescheiden.

Door de jaren heen zijn er veel fouten opgetreden bij het toekennen van classificatiecodes. Dit werd veroorzaakt doordat de code niet werd bijgehouden. Nieuwe ontwikkelingen binnen de taken, bevoegdheden en werkzaamheden werden niet aan de code toegevoegd. Het werd aan de expertise van de archiefmedewerkers overgelaten om deze onderwerpen juist te klasseren. Omdat hierbij vaak het persoonlijke inzicht van belang was werden archiefbescheiden wisselend geklasseerd, waardoor taken, onderwerpen, zaken en stukken bij elkaar werden geplaatst.

Met de komst van het geautomatiseerde postregistratiesysteem, nam de noodzaak om classificaties als plaatsingskenmerk te gebruiken af. Het geautomatiseerde systeem bod de archiefmedewerkers een veelvoud van zoekkenmerken om archiefbescheiden te plaatsten en terug te vinden. Classificaties werden minder relevant om de archiefbescheiden te ontsluiten en terug te vinden.

Tijdens de bewerking van de dossiers bleek dat er in het verleden een groot aantal facetdossiers was aangelegd. In deze dossiers werden aspecten die betrekking hadden op het onderwerp alfabetisch geordend opgeborgen. Het betrof hier archiefbescheiden die betrekking hadden op taken van de archiefvormer en de uitvoering hiervan. Sommige van de archiefbescheiden hadden een zeker verband met het hoofdonderwerp of het waren losse stukken die op het moment van de archiefvorming moeilijk te plaatsen waren.

Omdat het onmogelijk bleek om deze dossiers, zonder een grote inspanning, opnieuw te bewerken is besloten om ze in hun oorspronkelijke vorm te handhaven.
In het bewerkingsproces zijn de handelingen uit het basisselectiedocument voor het beleidsterrein wetenschappelijk onderwijs, openbare en bijzondere universiteiten en hogescholen 1945 -1986 gekozen als ordening van de dossiers.
Binnen deze handelingen zijn duidelijk afzonderlijke werkprocessen te definiëren, die als verdere verdeling hebben gediend voor de een alfabetische ordening van de zakendossiers.

Tijdens de bewerking is besloten om een cesuur aan te brengen in 1986. Toen werd de Wet Wetenschappelijk Onderwijs (Stb. 1986, 404) van kracht en werden de bevoegdheden van zowel het College van Decanen als van de Rector Magnificus ingrijpend gewijzigd.

De aangetroffen archieven zijn geselecteerd op grond van het basisselectiedocument voor het beleidsterrein wetenschappelijk onderwijs voor openbare en bijzondere universiteiten en hogescholen 1945-1986
(Stc. 2006,40).

Please note that this filter will only include institutions, for which a type has been provided as part of their descriptions:

  • A business archive holds the records of (often) commercial organisations.
  • A church or religious archive holds the records of church parishes or religious organisations, e.g. birth or death registers.
  • A county or local authority archive holds the records of the county's administrative bodies.
  • A media archive holds audiovisual or sound records, e.g. a film archive or the archive of a broadcasting company.
  • A municipal archive holds the records of a town or city administration.

  • Only descriptive dates provides the date information in human-readable format.
  • No date either includes documents where the creation date is unknown, or where date information is not in a machine-readable format
